Office Coordinator - Permanent Position -Global Organisation
My well established client is looking to recruit an experienced facilities administrator for the position of Office Coordinator in their London office.
Reporting to the Office Manager you will take on duties that centre on providing administrative assistance to the business, managing the reception including supervising the Office Coordinator ensuring the reception is maintained to a level that meets the demands of a corporate Headquarters, and respond to telephone queries promptly in English and/or German.
Suitable candidates will be pro-active self starters, have excellent interpersonal and communications skills and be computer literate.
Specific duties and responsibilities include:
. Responsibility for ensuring the Reception area is manned and maintained at all times
. Meeting and greeting visitors in a prompt manner and advising hosts of guest arrival
. Managing meeting room facilities to ensure the best standards are provided, including tidying of rooms between sessions, coordination of room bookings, ensuring AV equipment is provided, any hospitality and catering requirements are met etc
. Managing the postal and courier services to ensure the best possible, cost effective, service is obtained
. Regular management of office consumables, stationery and kitchen consumables
. Provision of administrative assistance to the business including:
o Ensuring that correct access levels are held by resident and visiting employees
o Assistance with travel arrangements (taxis, trains etc.) on an ad-hoc basis
o Purchase Order requisition as required
o Responsibility for ensuring the general upkeep of ET office and kitchen at all times
o Liaison with cleaners to ensure a high standard of cleanliness is maintained throughout the building
o Ad-hoc support tasks - typing, filing, faxing, photocopying, collating, expense processing, production of reports as required
. Assisting the Office Manager with the management of health and safety policies and procedures
. Liaising with the Facilities Administrator to ensure the provision of fire wardens and first aid support to meet current legislation
. Liaising with the Office Manager to ensure the training of fire wardens and first aiders is kept up to date
. Provision of regular reports identifying accidents and near misses to the Facilities manager
. Liaison with Facilities Administrator to highlight any building issues which arise, monitoring this through to completion
. Complete building inspections, record maintenance requests and liaise with Office Manager to ensure contractors are advised
. Monitor calls to the Facilities Call Logger, taking appropriate action as required
The ideal candidate will come from either a soft or hard facilities background with experience in providing a full range of facility services within a corporate Head Office.
